Position: Handicap Chairperson

Job Summary: Responsible for issuing and updating USGA Handicap indexes for the Working Women’s Golf League (WWGL). Set up membership in the USGA Golf Handicap and Information Network (GHIN) at Meadow Hills Golf Course. Communicate process for posting scores and maintaining handicap to membership. Regularly print and distribute reports to the Board and/or membership. Handicap chairperson must receive Handicap Certification from CWGA/USGA.

• Attend all Board and general membership meetings throughout the year. There are usually four to five Board meetings and the spring and fall general membership meetings.
• Respond promptly to issues that require Board attention.
• Actively participate in all Board matters.

• Receive updated roster or email from Membership/Events Chairperson with current league members for the current season.
• Activate all returning members and add new members in the GHIN system. Inactivate non-returning members from last year.
• Do not delete members, since members can keep the same GHIN number for years and can be activated rather then start over.
• Verify addresses and email addresses of returning members and add new member’s information to the GHIN system.
• Send welcome email letter to new members with new GHIN number and league rules for posting. Send welcome email letter to new members transferring into the league using their current GHIN number with league rules for posting. Send welcome back email letter to returning members with league rules for posting.
• Finalize league membership roster by inactivating non returning members before GHIN billing date. Notify Treasurer of total current members for GHIN payment. Work closely with the Membership/Events Chairperson on number of current members.
• Contact Membership/Events Chairperson and member if email is undeliverable.
• Receive new member information from the Membership/Chairperson and activate them in the GHIN system.

• Send the Handicap Revision Schedule to the webmaster to be posted on the website.
• Send a copy of the Handicap Report to the President, Tournament Chairperson, Tee Time Chairperson and Webmaster to be posted on the website each time it’s revised.
• Pull the Most Improved Golfer Report prior to the banquet so the trophy/plaque can be ordered.

• Run a posting report on Tuesday after 12:00 PM for each tournament and forward it to the Tournament Chairperson and President.
• Emails will be sent to members that haven’t posted their tournament scores that will state the Handicap Chairperson will post the scores for them. Repeat offenders will be tracked and maybe disqualified if the Board sees a non posting pattern.

• Make any change requested in GHIN system, i.e.; posting errors, etc.
• Manually calculate HI (handicap index) for members that have posted 5 scores in between revision dates and before next tournament they are playing. The USGA Handicap System book has instructions on how to calculate manually or the GHIN system has the information as well.

• Assist with league events as needed (e.g., Spring Membership meeting organization, Fall Banquet preparations, Beat the Pro Tournament and Member/Guest Tournament).
• Assist other Board members with their responsibilities upon request.
