Board Member Job Descriptions

Position:
President
Job Summary: Responsible
for overall planning and direction of the Working Women’s Golf League (WWGL)
and its activities in accordance with the League’s By-Laws, Club Rules and
Local Rules. Ensure Board continuity and clarify league procedures and
processes. Manage membership growth. Serve as main contact and liaison with
Advisor, Manager of Aurora Golf Division, Golf Course Pros, CWGA and other
vendors and suppliers.
Responsibilities:
Meetings
Schedule all Board and general membership meetings throughout the year.
There are usually three to five Board meetings and spring and fall general
membership meetings.
Respond promptly to issues that require Board attention.
Create agendas for all meetings.
Track and address administrative issues.
Actively participate in all Board matters.
Represent the league at Colorado Women’s Golf Association (CWGA) annual
meeting.
Plan the spring membership organizational meeting with the Membership/Event
Chairperson.
Invite league advisor, Karen DeSantis, Course Pros, and City of Aurora Golf
Division Representatives to appropriate meetings.
Give Club Championship and Most Improved trophies/plaques at Fall Banquet.
Spring Organizational Meeting
Have logo-item available for sale.
Vote on any by-law changes that were made and not voted on at the Fall
Banquet meeting.
Invite guest speakers.
Fall Banquet and Meeting
Work with the Membership/Events Chairperson to set up meeting place.
Plan program and business meeting to include treasurer’s report, by-law
changes, board member election, awards, entertainment, door prize drawing.
Request door prize donations from the courses and the City of Aurora and
make sure other door prizes are purchased.
Order trophy/plaque for Club Championship and Most Improved golfer,
including adding the Club Champion to the plaque at Meadow Hills.
League LOGO Items/Member/Guest Gifts/Appreciation Gifts
Determine what logo item/s and price of logo items to be ordered at the
spring meeting and on the website.
Order sample LOGO item/s for Organizational meeting.
Place order of logo items.
Deliver to members.
Determine what the Member/Guest gift will be.
Order Member/Guest gifts in time for tournament.
Deliver at Member/Guest Tournament (including one for Karen DeSantis).
Give golf course appreciation gifts to each course at the end of the season.
Give Karen DeSantis an appreciation gift for being League Advisor.
Give Cary Callahan an appreciation gift for posting winnings into the City’s
computer for all tournaments.
By-Laws/Club Rules
Ensure by-laws are followed (business is maintained in City of Aurora
whenever possible).
Analyze and review By-Laws, Club Rules and Local Rules periodically for
changes.
All By-Law changes should be emailed to members 2 weeks before any meeting
and posted on the website so the membership can vote on the changes at the
Fall Banquet or Spring Meeting.
Any Club Rule changes the Board makes, the changes are updated on the
website and all current members are notified by email.
Board Members
Assign board positions.
Provide each board member with a position description.
Review and update the position descriptions, as needed.
Provide back-up for all positions, as needed.
Approve the budget and verify bank balance. Receive the bank statement.
Provide all receipts for expenses to the Treasurer.
Board Meetings
Hold at least three board meetings a year, more if necessary.
Spring board meeting should be held before the Spring Organizational Meeting
to set up the items for the meeting to include any unfinished business from
the fall meeting, Tournament Schedule, membership application, dues and
discuss the Member/Guest Tournament.
Schedule a board meeting before the Club Championship to ensure each board
member knows what they need to do for the tournament; i.e., add each scorecard
and/or post scores on tournament sheet.
The fall board meeting is to wrap up any unfinished business for the season,
review surveys, determine voting results for by-laws and new board members,
plan next year meeting dates, member/guest tournament date, Club Championship
date, elect President and draw names for the hole-in-one pot if there were no
winners.
Website
Post new schedule on website.
Approve postings to the website for tee times, tournament schedule,
tournaments descriptions, tournaments results, sponsors, newsletters, By-Laws,
Club Rules, Hole-in-One participants, spring meeting and membership
application, invitation to fall banquet and current board members and ensure
they are posted correctly.
Purchase Murphy Creek or Saddle Rock green fee gift for webmaster (Doug
Gorton).
Work with the City of Aurora, Division of Golf
Karen DeSantis, League Advisor; invite to meetings, seek advice, banquet
invitation and thank you letter.
Brian Brown, Head Pro, Meadow Hills Golf Course and other course golf pros;
letters requesting door prize donations, banquet invitations and thank you
letters.
Cary Callihan, Head Pro, Aurora Hills Golf Course; thank you letter for
posting tournament winnings for each tournament.
Dennis Lyon, Manager of Golf Operations, City of Aurora.
Doug McNeil, Business Manger, City of Aurora
Work with Dennis Lyon on setting up following year’s schedule and give him
any special requests or dates; do not play on Mother’s Day or aeration
schedule days, and if possible, equal number of Saturdays and Sundays.
Sponsors
Obtain sponsors for the WWGL website to cover the board members due.
Give secretary the name of sponsors and address for request and thank–you
letters.
Newsletters
Create a newsletter for the membership to inform them of upcoming events,
rules and general league information.
There are at least three newsletters during the season; welcoming members to
the league and information given at the spring organizational meeting;
informing everyone about the Club Championship and banquet; and a final
yearend one recapping the season. More if needed.
Newsletters are posted on the website and emailed to the current membership.
Assistance
Assist with league events as needed (e.g., Spring Membership meeting
organization, Fall Banquet preparations, Beat the Pro Tournament and
Member/Guest Tournament).
Assist other Board members with their responsibilities upon request.
Assist the Tournament Chairperson with Match Play.
