Position: Tee Time Chairperson

Job Summary: Responsible for organizing tee time for all Working Women’s Golf League (WWGL) tournaments. Responsible for setting up tee times for the league play dates and collecting green fees from the players. Responsible for getting the league box to the golf course the day before the league plays or forty-five minutes before the first tee time on the play day.

• Contact or visit each course to verify the league reservations are in their computer for the correct dates and approximate number of players based on history and special events i.e. Member/Guest, Club Championship.
• Make sure the league’s first tee time at each course is around 8 AM in April and September and 7 AM for all other dates.

• Prepare at least three tournament sign-up sheets attached to envelopes for the Organizational Breakfast meeting.
• Club Championship can be done so both envelopes are in the league box together.
• Ensure the league box has three tournament sign-up sheets on each play date.
• Create the Excel spreadsheet for each tournament date to create the tee times.
• Each member must email or phone you their Premier Card number before they can get a tee time. Start a new list each year.

• On Monday PM before a tournament you should have all checks or PC members signed up.
• Go through sign-up sheet to make sure all members have added a check or Premier Card.
• Sort members into playing groups and time preferences, if they have requested one.
• Fill in with single sign-up members. Fill in all tee times, create threesomes to even out players instead of having twosomes.
• Fax or email the tee times to the course no later than Wednesday AM so the course can release unused tee times. Earlier is better, but no later than Wednesday AM.
• Email tee times to the webmaster by Wednesday AM so they can be posted on the website.
• If cancellations or changes have been made, annotate them on the hard copy that is given to the course in the league box with the checks. Tell them changes have been made when the box is delivered.
• Take the league box to the course the day before league play and let them know the tee time listing and checks are in the box. The latest the league box should be at the course is 45 minutes before the first tee time.
• Make sure league box has tee time listing with attached checks and PC numbers, envelopes for the next three tournaments, results from the last tournament, GHIN number listing and any other items needed.
• Pick up the league box at the end of tournament play, making sure the Tournament Chairperson has the scorecards. This can be coordinated between the Tee Time Chairperson and Tournament Chairperson or another board member.

• Attend all Board and general membership meetings throughout the year. There are usually four to five Board meetings and the spring and fall general membership meetings.
• Respond promptly to issues that require Board and Tee Time Chairperson’s attention.
• Actively participate in all Board matters.

• Assist with league events as needed (e.g., Spring Membership meeting organization, Fall Banquet preparations, Beat the Pro Tournament and Member/Guest Tournament).
• Assist other Board members with their responsibilities upon request.
